Why a Dubsado Setup Costs $1,500 to $3,800 in Specialist Fees (2026)

Why a Dubsado Setup Costs $1,500 to $3,800 in Specialist Fees (2026)

Dubsado is the only client management tool whose own website links to a directory of paid setup specialists. Search "dubsado setup cost" and you will find the software's $35 to $55 monthly price easily enough, but the number people actually mean, what it costs to get Dubsado working, is scattered across a dozen specialist sales pages, most of which only say "starting at".

We pulled those pages together. This article gives you the real published prices from Dubsado Certified Specialists as of July 2026, explains the structural reasons the setup economy exists at all, and lays out a straight decision: pay a specialist, do it yourself, or choose a tool that does not need a setup project. We link every price to its primary source so you can check our work.

One thing worth saying up front: none of this is a scam. The specialists are skilled, their clients are mostly happy, and Dubsado rewards deep configuration. The question is whether a business of one should be buying a four-figure implementation project at all.

How much does a Dubsado setup specialist cost?#

Published done-for-you Dubsado setup prices run from about $1,500 to $3,800 and up as of July 2026, on top of Dubsado's $35 to $55 per month subscription.

Here are the prices specialists actually publish, checked against their own pages this month:

Colie JamesDubsado VIP Day$3,500 flat1 day per customer journey

Specialist Cait Potter puts full professional setups at $3,000 to $5,000, and workflow-only rebuilds start around $2,500 CAD at Martine's studio. UK specialist Lindsey Garvey publishes no headline package price at all, only a "from £397" mini session, with full setups quoted after an enquiry call.

Our own observation from this pass: of the six specialist price pages we checked in July 2026, only one publishes a flat, all-in price (Colie James at $3,500), and that price explicitly covers one customer journey per day. Everyone else prices "starting at", which means multi-offer businesses should expect the top of the range, not the bottom.

Why Dubsado setup costs this much#

Four structural reasons keep specialist prices in the thousands: Dubsado ships as a blank canvas, its automation requires the $55 per month Premier plan, a certified labor pool is deliberately scarce, and a full build covers 25 or more custom assets.

  1. Dubsado sells configurability, not defaults. Out of the box there are no ready-made client journeys; forms, canned emails, payment schedules, schedulers, and automation flows all start empty. That design choice is why power users love it and why a market exists to configure it.
  2. Everything a specialist builds for you runs on Premier. Automated workflows (now "Flows"), scheduling, and public proposals are Premier-only features, per Dubsado's pricing page. So the setup project locks you into $55 per month or $525 per year, not the $35 Starter tier.
  3. The labor pool is small by design. Dubsado's Certified Specialist program is free to join, but requires 18 or more months as a subscriber, 10 completed Dubsado services or referrals in the prior 12 months, an application review, and a proctored demo-account exam scored 90 or higher, with recertification every 18 months. Dubsado does not employ the specialists and does not set their prices; it gives them a directory listing, half off their own subscription, and an upgraded 30% referral code. That is a genuinely clever arrangement for Dubsado: an implementation workforce that costs it nothing and markets the product for commissions.
  4. The deliverable list is long. Colie James itemizes a typical VIP Day as 1 lead capture form, 2 to 3 packages, 2 to 3 payment plans with reminder emails, 2 to 3 questionnaires, 25+ customized canned emails, a proposal, a scheduler, and the inquiry, booking, and onboarding workflows for one offer. Amy Pearson's package adds copywriting for the emails, code-free form design, portal design, training videos, and 30 days of support. This is real work: the prices are high because the product needs all of it before it runs.

The DIY alternative: what setup costs in hours#

One Dubsado Certified Specialist itemizes a do-it-yourself setup at 86.5 hours in the first year, while professional builds take anywhere from 1 day to 10 weeks.

Cait Potter's DIY cost breakdown is the most detailed public estimate: 12.5 hours of courses, 5 hours of settings, 10 hours on forms, 4 hours on emails, 15 hours building workflows, and 40 hours redoing workflows that did not work the first time, for a total of 86.5 hours. It is a specialist's estimate, so read it as the high side of honest. Lindsey Garvey says most of her full setups take six to ten weeks from strategy call to handover.

Set that against the trial: Dubsado gives new users 21 days of full Premier access, no credit card required, and the old free-forever plan is gone. You have three weeks to evaluate a tool that its own certified experts say takes six to ten weeks to stand up properly. If you are already tracking where your unpaid admin hours go, our freelance admin time guide will make 86.5 hours feel very concrete: at even a $75 billable rate, that is roughly $6,500 of your time.

Did Dubsado 3.0 change setup costs?#

Dubsado 3.0 (rolled out November 2025) renamed Workflows to a visual "Flows" builder with the same triggers and actions, so specialists report no forced rebuild, but new users must learn 3.0 only.

Some competitor blogs claim the 3.0 migration requires reconfiguring every automation sequence. The specialists say otherwise: Colie James documents that the new Flows builder is a visual, drag-and-drop reskin with "no new triggers, no new actions, same functionality", and that existing users can still switch back to 2.0 while it lasts.

Two things did change for setup economics, though:

  1. New subscribers get 3.0 only, so every tutorial and course recorded before late 2025 now shows a different interface.
  2. 2.0 will sunset sometime in 2026, which is generating a fresh wave of audit and rebuild bookings for the specialist economy.

Specialist calendars reflect the demand: Colie James books 6 to 8 weeks out.

Pay, DIY, or pick a simpler tool: the year-one math#

Year one of Dubsado with a typical done-for-you setup costs about $2,525 ($525 Premier annual plus a $2,000 specialist), versus $204 for a tool with nothing to configure.

PathYear-one softwareSetupYear-one total
Dubsado Premier + VIP Day (top published price)$525$3,500$4,025
Dubsado Premier + typical done-for-you setup$525$2,000$2,525
Dubsado Premier, DIY$52586.5 hours of your time$525 + the hours
Raoura (disclosure: Raoura is our product)$204none needed$204

Here is a fair decision framework:

Pay a specialist if you run one or two well-defined offers, you bill enough that $2,000 to $3,800 amortizes quickly, and you specifically want Dubsado's deep automation (multi-step nurture sequences, conditional flows, complex schedulers). The specialists are good at this, and a working system in a week beats a half-built one for a year.

DIY if you have genuine appetite for systems work, a light season to absorb the hours, and the discipline to finish. Budget real time: the people who set Dubsado up for a living estimate 86.5 hours, not a weekend.

Pick a simpler tool if the sentence "40 hours redoing workflows" describes a problem you refuse to have. This is the honest third option most setup-cost articles skip, because most of them are written by specialists. A solo freelancer's core loop, proposal to contract to invoice to payment, does not require a configurable automation engine. Raoura is built on that premise: one flat plan at $17 per month with proposals, contracts, invoices, milestones, and a white-label client portal, and no workflow builder to configure, which is precisely why there is no Raoura setup specialist economy. Branding, the other big line item in specialist packages (portal design, form styling), is a settings page:

Portal and document branding in Raoura is one settings page, the work a specialist package bills form design and portal design hours for.

Frequently asked questions

How much does a Dubsado Certified Specialist charge?

Published done-for-you setup prices run from about $1,500 to $3,800 and up as of July 2026. Examples: Amy Pearson from $2,000, Colie James at $3,500 flat for one customer journey, and Ema Katiraee from $3,800 via Dubsado's specialist directory. Independent estimates for full multi-offer builds reach $5,000.

How long does a Dubsado setup take?

VIP Day formats deliver one customer journey in 1 to 3 days. Traditional full setups take 6 to 10 weeks from strategy call to handover. DIY estimates from a certified specialist total 86.5 hours across a first year.

Does Dubsado employ or pay the Certified Specialists?

No. Specialists are independent businesses; Dubsado does not set their prices. Certification is free but requires 18+ months as a subscriber, 10 Dubsado services or referrals in 12 months, and a proctored exam scored 90 or higher, per Dubsado's program page. Specialists get a directory listing, 50% off their own subscription, and a 30% referral code.

Do I need Dubsado Premier for a specialist setup?

Effectively yes. Automated workflows (Flows), scheduling, and public proposals are Premier-only, per Dubsado's pricing page. Premier costs $55 per month or $525 per year for new subscribers.

Can I set up Dubsado myself for free?

The software gives you a 21-day full-access trial with no credit card, and Dubsado's help center is free. The cost is time: certified specialists estimate 86.5 DIY hours, and the free-forever plan that once allowed slow, unlimited-time setup was retired for new users.

Is a Dubsado setup specialist worth it?

If you are committed to Dubsado and run one or two defined offers, a specialist turns a 6-to-10-week project into about a week and the price amortizes over years of use. If you are not yet committed, spending $2,000+ configuring a tool you have used for 21 days is the wrong order of operations: test your workflow in something simple first, then buy depth if you outgrow it.

The short version#

The Dubsado setup economy is real, priced from $1,500 to $3,800+ with published receipts, and it exists because Dubsado ships as a blank canvas that only pays off after weeks of configuration on its $55 per month tier. Pay for the build if you want that depth. Do it yourself if you have 80-plus hours and the patience. Or opt out of the setup project entirely: Raoura runs the whole solo client workflow for $17 flat per month and is set up in an afternoon, which is the point. Disclosure: Raoura is our product.
