Creative proposal
Podcast production proposal template
A complete proposal you can send after filling in the brackets. Copy the text or download the PDF, then make it yours.
Make it yours before sending
- Replace every [bracket] with the client's real details. Search for "[" to catch them all.
- Set real prices in the investment tiers, and cut to one option if tiers do not fit the job.
- Rewrite "Understanding your goals" in the client's own words from your call. It is the section they read closest.
- Delete anything that does not apply. A shorter, true proposal beats a longer, generic one.

1. Overview
Prepared for [Client Company] by [Your Name], [Date].
Thank you for considering me to produce [podcast name]. This proposal covers everything between hitting stop on the recording and the episode appearing in feeds: editing, mastering, show notes, and publishing, so your only job is the conversation.
2. Understanding your goals
[Client Company / host name] records [cadence] episodes of [length] minutes and needs them produced to a consistent, professional standard without spending [X] hours per episode on post.
Success means a reliable pipeline: you record, and the finished episode publishes on schedule with notes, titles, and clips ready, every time.
3. Proposed approach
- Phase 1, Sound and format lock. We set the show's sound: intro and outro music, loudness target, editing depth (light cleanup versus tight narrative cut), and the episode template.
- Phase 2, Per-episode production. You upload raw audio [and video]; I edit out false starts, long pauses, and filler, repair audio issues where possible, and master to [-16 LUFS stereo / podcast standard].
- Phase 3, Package. Each episode gets show notes, a title and description written for search, chapter markers, and [number] promotional clips for social.
- Phase 4, Publish. I schedule the episode in your hosting platform with artwork and metadata, on the agreed publishing day.
4. Scope and deliverables
- [Number] produced episodes per month, edited and mastered to podcast loudness standards
- Show notes, episode title, and description for each episode
- Chapter markers and a full transcript
- [Number] audiogram or video clips per episode for social
- Publishing and scheduling in [hosting platform]
- Episode delivered for your review [3] business days after raw audio arrives
5. What is not included
- Recording and remote session hosting (setup advice included; live engineering quoted separately)
- Guest booking and outreach
- Podcast artwork and brand design (available as a one-time add-on)

8. Why work with me
- A locked episode template, so every episode sounds like your show, not like whoever edited it that week
- Turnaround in the agreement: your publishing schedule stops depending on my mood
- Notes and titles written for search, because episodes that cannot be found do not grow shows
9. Terms
This proposal is valid for [30] days. A deposit of [amount or %] is due to begin, with the balance due [on delivery / per the schedule]. Work outside the scope above is quoted separately before it starts.
You own the podcast, its feed, hosting account, and all published episodes. Raw recordings are archived for [60] days after each episode publishes. Intro and outro music is licensed for podcast distribution; using it outside the show may require a separate license.
10. Next steps
To move forward, approve this proposal in writing and I will send the agreement and the deposit invoice. We can begin as soon as the deposit is received.
